I thought this might be useful as a guide of what to expect from an order of spare parts from Playmobil. This was ordered in the UK so prices are in UK Sterling. This was my first ever spares order, but I already have 2 more in processing, though I expect to calm down a bit after that!

I'm very pleased that this service exists, and I can order spare parts at all. Using this I can create my own knights, cowboys etc from plain figures, or replace parts from items bought on eBay (e.g. Santa will have his hat, sack and boots tonight).
It's a little slow to get through the whole process (not helped by recent Royal Mail Postal Strikes), but that's a minor niggle.
It's a little clunky - I had to fax my orders in, then wait for a posted invoice (without this level of detail telling me what I was getting), then ring with my credit card details, and then wait...and wait.
There are a couple of mistakes - I got 8 picture frames (30 20 1560) I didn't order, but not the 8 system-x wall parts (30 20 6570) that I did - but the 8 frames only cost £1.20 total, so no biggie.
Some parts were unavailable - e.g. the 30 61 0330 violin & double bass set, but that is from an old set and I wasn't really expecting it to be available.
The plain klicky 30 00 3192 I ordered was a rare clown that only appears in one big Hospital set - so I was lucky to get one for £1.65, a very reasonable price for an unadorned new klicky.
I over-ordered some parts - most notable the cleats for my pirate ships. I wanted 8, but got 8 bags of eight at 80p a bag, so I have a lot of spare cleats now. I chalk that one down to experience - a part may be so small that it comes in multiples.
I haven't had time yet to check through all the spares I received, but there's a lot there that I remember ordering, and if there's anything on the invoice and not in the package I'll be suprised.

Thanks for posting this, Martin. It could be very useful reference for someone who has never ordered before and also gives other UK members a clear idea of how much they can expect to pay for the specific parts which you listed.
I was surprised at how expensive the cleats were until you mentioned that they were bagged in sets of 8. :o It certainly would be helpful to know which items come in multiple quantities before placing an order. I've had similar experiences of ordering incorrect numbers of parts that I'll quite likely never need to use. ::)
You say that you had to fax your order to the DS? I haven't ordered for several months, but I've always been able to email my order directly to the correct department: DirectService_UK@playmobil.de
Up until my most recent order, I always received an answer by email from them within a day or so, giving me the total cost and listing which parts, if any, were unavailable. This really made a difference in the amount of time it took from placing the order to receiving the parts.
Last time, however, I received my invoice from them by post and it took much longer - it was over a week before I was able to phone them with my payment details and complete the order. :( I don't know why they changed the system because I much preferred it the other way. Perhaps the size of the order being placed has some bearing. Mine was several pages long. :-[

I always email my order in the form of an Excel spreadsheet attachment, asking to told the total cost by email. I then phone up and pay by credit card. On occasions, I have emailed in my order in the morning and had an answer by the early afternoon.
Delivery time after paying varies - when I paid for my latest order the delivery time was 14-21 days. In the past I have received an order with 10 days of paying.
When an order arrives, I always email acknowledging receipt and saying thank you.

Clarifications like the 8-piece set of cleats is important to know too - I'm going to update that part page right away. If I get enough price information, I might be able to keep track of that too. (What does the column that starts with "L1/16" mean - anyone know?)

Hi i find it interesting that your invoice shows the Price . on my invoices it has a column for - material & description - ordered quantity - please reorder- shipped quantity - packed quantity- box #.
It was a very time consuming task to confirm what was in the box as i needed to use the data base for every part # and i had over 8 pages of stuff.
One interesting thing i found was many parts had the most unusual descriptions . Part # 30 23 7350 is called GIRL (BUNNY) ??? its the GPS . 30 21 6670 is called a WICKER BASKET F. BOTTLE ??? it is a tie down clip. There were more with this type of confusion . it was what i ordered but if you used it for reference it would not add up .
The order went quick and i got it in 2 weeks . free shipping I do not own a scanner so i will ask around .
the only thing i was disappointed in was that when i placed the order they showed parts as in stock and when it came 13 were in the please reorder column.

That happens a lot here with parts being out of stock when they actual pull the order for shipping. There are always at least a couple of those on mine. Here in the US the best way to order is to phone it in and read off your list. I know in Germany they like to have the set number the part is from also. When ordered by phone it's possible to tell them the set number and what part you want and they can look it up. This is useful for unique parts in sets without instructions.

I've had the same problem with item description and what you get not matching up. I think it results from changes to item numbers and the description for the item number not being updated or updated wrongly.

Hm. OK, I'll keep that in mind. So do you tend to get the right part but it's described wrongly, or do you get the right description but the wrong part, or things switched around? You'd think that when the order-taker types in a part number, the description would pop up, but if "dto." (ditto) appears, then I guess not. Weird.

I'd rather email them, but I tried (via the playmobil website) twice, and just got a bounceback email, in German, basically saying "we're not listening". My first enquiry via that site did get a response, but it said they didn't sell cowboy gunbelts separately - which they do, because I got them in this order.
I'm not sure if it was the same address, as they don't give an email address on the website. Eventually I rang up and spoke to Caroline, and she suggesting faxing the order over - which at least worked, and I was able to confirm she'd received it and it was being actioned.
I'm still waiting for the postal invoice for my 2nd and 3rd orders...I was quite suprised to receive the order confirmation and invoice by post, as I'd given them my email address, telephone number etc on my order.
Next time I place an order, I'll ring first and see if they have a working email address.

I think it is. When I used to work for Nissan (in the spare parts department) the locations of items to pick where a lot like those (Lane 1 - space 16 or something like that)

Exactly my line of thought, although I notice that the reference does alter sometimes. I'll have a closer look at an item I've ordered over a number of years.

I'll have to scan them in, Heather, but that will be a handy exercise as it will free up some space in a desk draw.
So far, I've got the right part with the wrong description.
A description does come up when the part number is put in, but this can be in English or German depending on the part, so unless the person putting in the data can read both English and German and has an accurate (i.e. Playmobil's) description of the part on your list and is reading both the part number and the description and checking the latter against what appears on the screen, a discrepancy like this wouldn't be picked up.

Another part description that can further confuse you is Playmobil calls # 30 02 8470 a "CEILING ELEMENT LARGE" on you data base it is called a "Floor, 1x2 units"
I guess it is the same thing depending if you are up stairs or down .

As it happens, my latest DS order arrived today, 16th October. I received an email on 24th September re the cost and I authorised payment on the 28th. The delay was because I was away from home for a couple of days and didn't have time to authorise payment before I left home. A couple of items were discontinued as they were replaced by newer versions in 2002/3.
Oddities on the Playmobil invoice are that 30 51 2560, handles and controls for the hovercraft in the dino set, are described as SEAT and 30 24 2900, the rotor frame cover for the hovercraft, is described as WOLFSKIN. The semi-circular side screens on the hovercraft (30 24 2910) are described as SHOULDER BELT. However, the items received were the right ones.
There had been one part number change - 30 24 2920 (hovercraft rotor screen) is now 30 25 8630. The right part was supplied so presumably when the number I gave was input the computer "translated" it and picked up the right part.

Curses. This is looking more discouraging. I was hoping to use this resource to tap into the name-and-partnumber database at Playmobil itself, but it looks like either the names are hopelessly messed up in that database or the clerks are making things up :( Never mind, I still want the lists, but to have the original orders as well (especially when the part is ordered by description (such as from Specials), not by partnumber) would be even more useful. I certainly won't jump to conclusions about unknown part numbers, that's for sure.

The clerks don't make things up as what is printed out is on the invoice or comes up on the screen when they query a part number is given by the computer.
The original orders are no problem as I have them, bar one which is missing so you may have an invoice with no matching order, as spreadsheets.

Names here don't seem to be quite as messed up but there are certainly oddities.
The tan falcon body 30 08 8790 - Falcon body (http://www.playmodb.org/cgi-bin/showpart.pl?partnum=30+08+8790) is called hawk body on my recent order invoice, but the wings 30 07 9880 - Falcon wings (http://playmodb.org/cgi-bin/showpart.pl?partnum=30-07-9880) are listed as wings:falcon, umb.brn (I assume umber brown)
And what you call horse coat 30 62 7022 - Horse coat, long, scalloped hem (http://www.playmodb.org/cgi-bin/showpart.pl?partnum=30+62+7022) and I call caparison they are calling "saddlepad knight"
my guess is it's a translation from the German that is a bit too literal.
And they are inconsistent - they call the blue falcon hood 30 24 8330 - Falcon hood (http://www.playmodb.org/cgi-bin/showpart.pl?partnum=30+24+8330) Hawk Bonnet but the dark pink version 30 07 9980 - Falcon hood (http://www.playmodb.org/cgi-bin/showpart.pl?partnum=30+07+9980) Hood:Falcon (I was surprised to get that one - it's from the 3628 Hunting Party set that's been gone for a while.)

Among many fascinating jobs I did as a student, one was "picking & packing" for Ponds, which required making up small orders much like this. I'm sure the L is the lane number, and the /32 is the bay number on that lane.
Although the order is printed out by computer, the final picking is done by human, so errors will creep in. I got a couple of extra bits (one extra beret and an extra gun).
Of course, without the magnificent Playmodb, 90% of my spares order would have been impossible, so another big thank you to Heather for all her work in expanding and maintaining it, and to anyone who helps her to keep it fresh and thriving.

Also useful information. I notice that three hats near the top of Martin's order are all in the same lane and bay. Not a sure-fire indicator of what a part is, but might help me decide if a part is one thing or another.

Well when i received my last order it was missing a few pieces so i called and told them. While i was on the phone i decided to put a few more parts on the order ( it seems like my lists never are finished ) . Well the order just came to me in the post in record time . 4 days from time of placement . and that is including shipping across the US. :love: Lucky or unlucky it is again missing some parts so i will have to call again. ;D

well heather i would also like to thank you for how you put your site together . i just discovered the " Show Parts By Category" and i went through the whole list .i looked at every known part , it took many hours and i was able to identify many unknown parts in my miscellaneous bin. The only draw back was on my wallet as my parts list just grew by two pages.

Here's my second direct order invoice. The prices are pretty random - an adult Raccoon is 35p, while a sitting baby raccoon is 50p.

It's strange how PM UK lists unit costs on the invoice but PM USA does not. PM USA lists quantity ordered and quantity filled, but not unit cost. Not even final total cost (you have to wait and check your credit card bill). To get the exact cost per item, you have to be quick with the pen while ordering over telephone and annotate your private list based on what the phone rep tells you.
I'm surprised there isn't complete uniformity between divisions. I get the impression that PM Germany maintains all the web sites, at least.
Not that I'm complaining!

Tim all you have to do is when you are done placing your order request that they include the " Order Confirmation" or "Invoice " not just the "Delivery Note" and if they do not sent it with the parts ( they do forget ) call back , give the order # and in a few days they will have it mailed out . You can even request ones for older orders.

For me a pattern is now forming, and I can have a reasonable guess at what my orders will total.
In the UK a small part such as a single cuff or a sword is 10p, a hat is 15p, a shield is 20p, and larger or rarer items come slightly higher. A klicky figure is £1.65.
Assuming you add a hat & a couple of hand items (sword & shield) that comes to £2, which is the usual retail price for a special figure (unless you go to Hamley's), so you're not saving anything ordering normal figures this way. Any special that comes with more than that, e.g. the current greybearded cowboy, is extra good value.
OTOH, if you want a figure that only comes with, say, a full Knight's Castle, this is a good way to get one.

You're right, I hadn't gone through in detail yet but that doesn't seem right, especially as the same part in dark brown 30 08 0060 was only 13p. I'll question that, and might get a refund. I'll let you know what happens. If I do get a refund, you'll have saved me £5.20.
Those satchels are destined for dressing up US Civil war troopers, to carry their ammunition.
The 30 23 3160 silver hubcaps were only 3p each though, for dressing up my SWAT cars which came with ugly yellow hubcaps - though I've got a feeling they come in pairs, as I seem to have 32 and only needed 16.

It was actually two orders, but they arrived on the same day. ;D
Some things require multiple parts to assemble - e.g. a winch has 5 parts including the rope with hook, and a spotlight for a helicopter or SWAT vehicle is three parts. To finish some wetsuit divers I needed flippers, aqualung, mask, aqualung hose and aqualung vest.

Got the answer back from Caroline at the UK office already:
"Dear Martin, I have looked into your query, the reason is because they are made in different places and made from different plastics, also the prices are set in Germany we do not price here. Hope this helps , kind regards caroline."
So not quite a £5.20 refund, but at least an explanation.

LOL, I missed that one!
I had one of those in my arm not so long ago. They don't really go in the wrist, usually the inner elbow or the back of the hand, and as far as I know they don't pipe blood into you that way, just clear fluids.
I somehow got a pony (30 67 0440 Fohlen 99) in that order, when I was trying to order an ambulance roof.

Has anyone noticed whether ordering larger quantities of an item increases odds of item being completely unavailable?
I mean, if I email for 30 Roman helmets (PM USA now wants emailed orders), and PM only has 14 in stock, will the order taker say "qty unavailable" and send 0?
I'm trying to get my DS ordering down to a science (I hate DS ordering...) and intend to fire-hose Playmobil (ordering large quantities of everything I need under the presumption 30%-60% is out of stock anyway and less than $150 incurs a $10-$15 shipping charge).
But, I don't want to shoot myself in the foot and get sold-outs for everything because the guy typed "20" and returned a blanket "qty not available" (PM USA now handles emailed orders, so we no longer walk through the list).
If I remember in person, the order taker types in a qty and gets the true qty back. Yet, I get so many extremely common items being completely sold out that I had ordered 10 of. This leads me to wonder whether they do an all or nothing thing.

My last DS order was on 4/11/08 and they were still taking it by phone (which I prefer because they can tell you what the actual stock is, especially useful if you are after an assembly that has multiple parts), emailing would be fine if they responded with a list of items out of stock or limited quantities so you could edit your list.
You are right about their stock being short so often, I prioritize my lists and went through almost 200 items last time because so many were out-of-stock and I had to re-adjust others to make the $150 minimum. The first few times I ordered more than 20 of an item they did ask why I needed so many but once I assured them the items were for personal use they seemed okay about it (I told them they were out so often that when I found something I want/needed I felt compelled to order a lifetime supply because they might never have those items again!).
Is there any interest in a DS alert to let people know if you were able to order some particular item(s) that others may have given up on? I recently bought several gorillas and spinning wheels which I really didn't expect to be available and they had finally gotten some legionnaire shields. I think there are times people might like to know that something has come in or is available since there is no place you can check otherwise. Any interest out there?

For my last order in February, the clerk wanted my order emailed. I sent an Excel spreadsheet and he responded with availabilities. Since your clerk took a 200-item phone order more recently, I guess that blows my theory that they'd changed policy.
I'm not sure starting an alert system whereby we inform people when stuff is in stock would be effective.
I have a strange feeling that you and I could place orders on the same day and get different results (as in I order before you and it's sold out and you order after me and it's available).
Or maybe I'm too much of a fatalist...
I can't figure out whether PM likes our part orders or wants to discourage it. For example, nowhere on PM USA website do they pitch: "Want to equip your Roman Legion, but need more spears? Call our parts department!"
On the other hand, if they didn't want us to order, they could easily nip it in the bud--"sorry, you can't order 17 spears because we deal in replacement parts only, and no set comes with 17 spears!"
Somebody needs to start dating one of the clerks so we can get the inside scoop on how the system works. Or maybe not date, but make friends. I don't care about the details. Just get the inside scoop, somebody. KlickyWelt appears to have infiltrated Playmobil Germany. It's our disgrace that 10 years running we still have no insiders at PM USA.

Maybe it's imagining Heather's "frenzied" search for new parts coupled by her "obsession" with confirming old part numbers and names. It's still fun, or it wouldn't get done. (WAY more fun than continually answering "what's the part number for...?" questions and mailing out plans; and I'm just one of those odd people who get a thrill out of lists.) I daresay it makes Playmobil Parts Dept.'s job easier too - so much quicker to deal with a list of numbers than try to negotiate with a customer about which exact object it is that they want, or get it wrong and cause disappointment. (Not that that doesn't still happen, obviously!) I'm constantly mystified why they don't just do it themselves, since they have all the data already.
Anyway, my call for part lists, plans, and photos continues... as long as they're still making sets there's more work to do.

I would like to know if anyone has any idea about when Playmobil DS gets a new shipment in from Germany? Is it quarterly or every 6 months? :help:
I usually place a order every 3 to 4 months, but when i call about the same items they're always out of stock and they always say call back in 4 to 6 weeks. Any input would be helpful because i'm frustrated. :eh?:

What they told you is about right for this time of the year. It can be longer nearer Christmas.

They appear to process these DS orders in batches, and then send them over from Germany to the UK office, where they send out the boxes to individuals.
I once got two orders, made a month apart, at the same time, because I'd just missed a batch with my first order.

You'll notice that prices for figures vary quite considerably depending on how much extra bits are attached to them. A simple printed figure is much cheaper to order than one wearing a vest, epaulettes, or other similar accessories.
I was quite shocked at the cost of ordering Playmobil baby figures when I last ordered (several months ago). You'd expect something small like that to be relatively cheap but I think they were around £1.50 each. :o

The overheads rate higher in a smaller figure, as do some variable costs. For example, the adult figure may, say, be four times the size of the baby, but it doesn't use four times the plastic.

Prices can vary wildly for no obvious reason, Mike, so be careful not to over-order - I assume on a student's budget you don't have as much disposable income as some of us.
I ordered 10 tan and 10 brown satchels, and one came at 13p a unit (reasonable) and the other at 65p a unit (5x the cost). I even rang to query this after someone pointed out the wild variance, and they told me that's just the way it is.
I wanted lighter-coloured satchels to put on Union soldiers and darker ones for Confederates, but now if I need more I'm going for the cheaper option.

this time it was my faul;t as i ordert 150 rifles 150 clips and 186 flashlights to complete teh weapons i need .. iam allready lookin through ebay to get the helicopter etc.. i made some really cheap buys.. but its way not all what i need.. so it can be very expensive.. yes and i need to be carefull aswell..
now the hard part.. coloiring.. i found out when i paint the figures by hand i need 1 year :p and the colour from my prototype splits allready even i barely touched it.. the helicopter is fine.. but the figure ( blck) splits.. dunno why..

My 6th order I think.
The bulk of this was 25 Roman cavalrymen and their kit - the figures were £1.90 each, the highest I've paid per figure. Add helmet 15p, Gladius 15p, Shield 25p and spear 10p and that's £2.55 per dressed cavalryman, compared to £2 for specials in the shops. No doubt this means they'll be coming out as a blister pack soon.
The wooden dock from Spanish Lighthouse was less than I expected at £1.65, maybe because it's just one solid part. Spanish Morion helms were 15p each.

This order arrived yesterday, with the hope of almost completing my Roman Army theme, but disaster - the 30 00 2692 signifer figures have come with painted ladies' arms!
They're getting returned, whether for a refund or replacement I don't yet know. Can't have these 4 wrong guys in an army exceeding 250 figures. Happily I have enough spares to stand in as signifers for now, and may use customised figures for several of my signifers.

No.
1.You call to ask about the parts you're not so sure about if they're still in stock.
2.You fill out your order, partsnumbers, setnumbers, quantity needed.
3.You post your order.
4.About 6 a 7 workdays later you get a neat little-or large...-package in the mail.
5.You do a little "happy dance".
6.You pay the envoice.
At least that's how it works for me. ;)

I did, and at the time only had 2 parts to check on, 1 was in stock and the other wasn't. They told me to call back in a few weeks. since then i have collected a rather large list of part #s I would like to order, but have been putting it off since i am not really sure if I should just call them back or what.

I've got a parts order question that's probably not worth a thread of its own. I sent a spreadsheet with about 20 parts to Playmobil USA service. Prior to sending, I checked Playmobil.de to see if those parts were available to order on their website. For me, it was a guide to see if it was even worth attempting to order. When I got the parts quotation back from Playmobil USA, about half of my request is not available.
So my question is ... even if a part is available to order from Playmobil Germany, it is very possible that same part will not be available at all in another country (in this case, USA)? Am I naive to think USA would get their parts as needed by the parent company? I know it's just toys, but very frustrating all the same.
