Title: Do you need a complete list of all Playmobil sets?

Here is one I have made on an Excel Spreadsheet. All sets (https://dl.dropboxusercontent.com/u/61286767/All%20sets.xlsx)

(I can make this available in other formats, just ask! I have colour coded the background or text in some cells, but this colour information may not be saved in other formats).

Why did I do this? I found no one source of information on PM sets to be totally comprehensive. I also wanted  to be able to sort and filter the information and search for words in the set titles, so a spreadsheet seemed a good idea. (If you want some tips on sorting, filtering and searching, see below!). It's a useful  way of keeping track of sets we have too (a tick list!)

I collected data from several sources and cross-referenced. I have (so far) only included 4-digit set numbers (4972 sets) and unless they appear in PlaymoDB, I have not included GIG, BASA, Antex, Kenbrite, Lyra, Japanese, Canadian, Korean, Marx-Toys, or Schaper sets (pages 359-491 of Collector). I did include all 'Export sets', many Spanish sets (35 out of 91 sets) and all Mattel and Playmobil (USA) sets.

I used the following sources:

1.   www.playmoDB.org (for set names, themes, set numbers, klickies per set)

2.   Collector 3rd edition (for many release dates, set versions; I have also given page numbers for all sets on pages 18-358, 492-540 and 550-2)

3.   Datenbank-Setinhalt mit Inhaltsverzeichnis at  http://www.klickywelt.de/viewtopic.php?f=11&t=48354&sid=d4ef1bcbea20513954b2c305f9a0562c (http://www.klickywelt.de/viewtopic.php?f=11&t=48354&sid=d4ef1bcbea20513954b2c305f9a0562c) (Photos of set contents of many pre-1990 and a few post-1990 sets, some set contents still sealed in original bags, some sets show box pictures only)

4.   www.playmobil.de (Produkt-Arkiv, Building Instructions pdfs available)

5.   www.klickypedia .com

6.   Searches of PF and klickywelt topics

7.   Google searches

I also made a list of all unused set numbers (currently 1,339) in the ranges 3000-7999 and 9000-9999. There are 291 numbers used for more than one set.

There are no links to web pages in this spreadsheet, so it will not update automatically, but I have a system (manual, time-consuming!) to check when Heather adds sets to PlaymoDB, or changes the Theme to which a set is allocated (but I will probably miss changes to set names). I also used Heather's frequent updates in the PF topic  pdfs online at playmobil.com (http://www.playmofriends.com/forum/index.php?topic=14137.180) to check on new pdfs becoming available. (Unfortunately my total for pdfs does not quite tally with Heather's).

Any corrections to data will be gratefully received. Please feel free to make use of this data elsewhere.

The data in a few columns is not yet complete (column title in red text), such as whether the klickies in a set have freely-rotatable wrists or (as in most pre-1982 sets) fixed wrists. I did not include the 'Focus' which Heather has ascribed to each set in PlaymoDB, which some might have found useful.

Some more notes, relating to each column in the spreadsheet are in the second tab of the sheet. Other tabs show analysis of themes, year of release, klickies per set, etc.

Sort, Filter and Find in an Excel Spreadsheet.

I am sure similar procedures apply in other spreadsheet programs.

'Sort' means 'rearrange how the rows of data appear on the screen.'

For example, the data is currently arranged in order of set number. If you wanted it arranged in order of something else (e.g. year of release), follow these steps:
1.   Highlight all the rows you want to rearrange as follows:
    a.   click on the row numbers at the left hand side, starting with row 4
    b.   drag to highlight all rows down to row 5416- it takes a little while!
2.   Click on the 'Data' tab, then click on the 'Sort' option, then
    a.   select Column I in the drop-down list in the 'Sort by' box, then
    b.   click on OK.
3.   You can choose a second column as a subsidiary sort. For example, with 'Release date' (column I) as the primary sort criterion, you might choose 'Set number' (Column A) to put the sets in set number order within each year (this is the way in which Collector sorts sets, for example).

(Those familiar with spreadsheets may use a 'header row' as the basis of sorting, but in this spreadsheet there are 3 header rows, so that method would be possible only by deleting 2 rows, perhaps rows 1 and 3).

If you are not careful about what cells have been marked prior to sorting, Sort can really mess up a spreadsheet, so I seldom use it. A much better command is Filter...

'Filter' means 'hide certain rows so you only see the ones you are interested in'.

Filtering rarely messes up the spreadsheet data. You can filter one column or several. It is probably best to make all columns filterable to start with:
1.   Click in the extreme top left corner of the spreadsheet (above the 1 and to the left of the A) to mark all the cells in the spreadsheet
2.   Click on Filter in the Data tab. A small white arrow appears at the top of each column. (the view of the spreadsheet often jumps to the right, so scroll horizontally using the slider at the bottom right, back to the columns you are interested in)
3.   Decide what you are interested in (e.g. Theme, column E), then
   a.   click on the arrow at the top of that column,
   b.   uncheck 'Select all' at the top of the list, then
   c.   click anything you are interested in, e.g. 'Leisure' and 'Freetime'.
   d.   Click OK and the software hides all rows except those with Leisure or Freetime in column E. It also hides the column headings (rows 1, 2, 3), which can be inconvenient. To avoid this, click on the arrow again and click on the column heading in the list - 'Theme in PlaymoDB' in this case. Click on OK. All column headings will now be shown

Of course you can do the same thing on PlaymoDB ('Choose from all themes' on Home Page, or 'Show sets by theme' on any other page, select Leisure and Freetime, click List Sets) and you get set pictures too!

But with spreadsheet filters, you can filter several columns at once, so if you wanted 'Police sets issued in 1983 or earlier, with 5 or more klickies', you filter columns E (choose Police), column I (choose each year 1974, 1974.5, 1975... to 1983) and column M (choose 5 and 7 klickies- there are no sets with 6 klickies and the other two ctiteria) .. and you get 5 sets. Want to see pictures of them? Copy the block of 5 cells in column B (which have PlaymoDB set numbers) and paste the selection into the box at http://www.playmodb.org/cgi-bin/your_set_list.pl (http://www.playmodb.org/cgi-bin/your_set_list.pl), click on Submit and the set pictures are displayed.


Find

If you are looking for a specific set but can only remember part of the name, this can be very useful. For example, to find the 'Merry Men's Feast' set, searching for 'Merry' gives four hits

In the 'Home' tab, click on 'Find' at the right hand side, or a quicker way is to hold the control (CTRL) key and type F.

In the box which appears, type in the search item (e.g. a set number, part of a set name, etc.) and click on 'Find Next'. The view of the spreadsheet will jump to a cell containing that search term. If it isn't exactly what you are looking for, click on 'Find Next' again.

You can also click on 'Find all' and you get a list at the bottom of the box showing all occurrences of your search term. Click on the one you want and the view will jump to that entry.

(If you get the message 'Microsoft Excel cannot find the data you are searching for', click OK and then make sure you have not inadvertently selected a small group of cells (if so, click on any single cell and try again). Or, turn off any filters (click on 'Filter' in the 'Data' tab). Then try the 'Find' action again.)

sometimes when a plan has 2 numbers e.g.7619/7683, we should just save it twice under the second number as well, right?
and is it possible that sometimes playmobil.de removes a plan for some reasons? e.g. I can't find 3038/3050/3057  :P

Cheng, the column showing PDFs of building plans shows all the numbers I got a result for at www.playmobil.co.uk (I think the other playmobil sites, .de, .com, etc. show the same results). 7683 doesn't give a result, although it is covered by the 7619 instructions. For now, I will enter "see 7619" on the row for 7683, to indicate that you have to look up 7619 to get the 7683 instructions (if you follow me...) I had already done this for a couple of other sets and doing this for all sets which share instructions would certainly be possible, but I don't have a list of such sets, so that would need some more research....

You are correct - 3038, 3050 and 3057 don't have PDFs available. Maybe I put these in by mistake, or maybe the PDFs have been removed from the website, I don't know. I will take them off the list. My total of PDFs now comes to 2253, while Heather's comes to 2246, so there are probably another 7 sets I have entered in error or whose PDFs have been removed. Let me know if you find them!

some more research....

So, I checked the 209 sets listed as 'USA' in the market column (quite a few US sets were equivalent to sets issued elsewhere with a different number) on PlaymoDB and found about 40 with equivalents, but nearly all of these had 'working' pdf numbers for both sets (if you enter either number at playmobil.co.uk, you get the instructions for both sets). I found only 4 where this didn't work, so I entered 'see ----').

If anyone finds any more errors or has any more suggestions, let me know!

Graham, you're being phenomenal again. What a treasure!

Here's some info that looks like it'd be helpful, from a preliminary read-through:

There are official PDFs available for direct download, that don't come up when you search for them in the Building Instructions dialog. They are not included in my posted count of PDFs available, because they're not readily identifiable and so the total number of PDFs would be confusing. However, by elimination, here are the sets with stealth PDFs:
PlaymoDB List - PDFs available but not searchable (http://playmodb.org/cgi-bin/your_set_list.pl?setlist=3285,3286,3367,3761,3826,3827,4438,5359,5648,5674,5675,5683,5762,6254,7423,7498;title=PDFs%20available%20but%20not%20searchable).

I keep track of sets that have no instructions, by assigning them the fake part i0000 (Instructions Do Not Exist). It appears in 679 sets in the DB. Now, some of these are assumptions (e.g. specials, eggs) but a fair number are based on someone telling me or posting a photo of the full contents of a freshly opened set. Some error-checking...

The missing PDFs: 3038, 3050 and 3057 have never had any individual instructions of their own, in my knowledge.
3038 - Formula 1 Car (http://playmodb.org/cgi-bin/showinv.pl?setnum=3038) is probably equivalent to 3603 - Formula 1 Racing Car (Yellow) (http://playmodb.org/cgi-bin/showinv.pl?setnum=3603), which does have an official PDF.
3050 - Pirate Ship (http://playmodb.org/cgi-bin/showinv.pl?setnum=3050) is probably equivalent to 3550 - Brigantine (http://playmodb.org/cgi-bin/showinv.pl?setnum=3550), which has instructions but not an official PDF.
3057 - U.S. Artillery (http://playmodb.org/cgi-bin/showinv.pl?setnum=3057) and 3812 - U.S. Artillery (http://playmodb.org/cgi-bin/showinv.pl?setnum=3812) share an instruction sheet, labeled with both numbers although 3057 is denoted as "USA/CDN". No official PDF.

9605, 9607, 9608, 9728 (http://playmodb.org/cgi-bin/your_set_list.pl?setlist=9605,9607,9608,9728)  have always been part of the DB. 4930 - Boy with Tractor (http://playmodb.org/cgi-bin/showinv.pl?set=4930) is a recent addition - you have its theme in PlaymoDB but haven't removed the "not in DB" label.

Now, to add those 158 sets not in the DB and totally mess up Graham's system :) Thanks so much for finding them!

Some of those 158 'not in DB' sets are found only in Collector. I am sure that is a reliable source of information, though it would be nice to know on what authority it is based (collective wisdom of collectors would be good enough for me, Geobra archives even better!)

The pdf total in the spreadsheet now comes to 2246, the same total as in the PF topic. But this includes three 'broken links': 3252, 5379 and 5671 all give the result '1 building instruction(s) found' but no PDF. In any case, 5671 does not exist as a set (not yet anyway). I changed the entries for sets with stealth PDFs to 'exist'. I am hoping all the sets where plans are known to exist will eventually appear as PDFs online.

9605, 9607, 9608, 9728 were double- entered, now removed. Duplicate set numbers now stands at 287.

4930 corrected. It's now 159 sets not in the DB (I found another error). I look forward to new additions to the DB, Heather! I have a system for checking additions (using sets-per-theme totals) but I will hang on a bit to do this.

I'm dubious about the sets with nothing but a number (and a re-used one at that), and a year, but put them in anyway. Next: pictures needed. None of these have pictures, and there's another hundred or so besides. I don't want to take them from the Collector or Klickypedia, but any source with permission, or directly from a Playmobil source, is fine with me.

Great work Heather! The DB is now just 4 sets short of the 5000 mark! That list of total sets per theme will be VERY useful, thank you.

There are box pictures of just 5 of those newly added sets in Datenbank-Setinhalt at Klickywelt. Some of the other older sets with missing pictures (do you have a list, Heather?) might be in there too. I am happy to ask the Klickywelt members who contributed box pictures if they will share them with PlaymoDB. I think the resolution of pictures on Klickywelt would be good enough so the owners would not even have to send you an image.

I could also ask ebay sellers for permission to use their pictures if any of the sets show up there (payback for sellers linking to DB images in the past?).

Failing that, an appeal for box pictures on here and on Klickywelt (and other forums) might yield results.

If you could coordinate an appeal for photos, Graham, that'd be fantastic. I'll make a list. I did find a catalogue of those 31xx Kindergarten sets and added those photos; I also put in the direct links to the Datenbank-Setinhalt for the new sets that appear there. we'll chip away at it.

OK, I will do that once I have the list.

I have updated my spreadsheet and added all the 'sets formerly known as "not in DB"' (there are none now) as well as 9015 and 9124.

Total 4996 sets in PlaymoDB,
       4970 'occupied' rows in the spreadsheet (the difference is due to the fact that I have not given a separate row to each version of a set- except in two cases- whereas the DB has 26 more set-versions each with their own entry).

1337 unused numbers, 287 numbers used more than once (someone should have planned ahead!)

I have not included the 2018 DS sets yet (Heather has not allocated names or themes on PlaymoDB yet, these sets appear in the theme '(new)'.

This relies heavily on PlaymoDB as usual (thanks Heather).

I have tried to complete the data on building plans (column L), giving each set one of the following descriptors:

[set number] The building plans are available from Playmobil websites to download as pdf documents. 3168 sets (including set 3252 which has a broken hyperlink and set 6464 which is missing from Playmobil websites, but the link from PlaymoDB works)

exist The plans are known to exist in paper form, but are not available from the Playmobil website. 831 sets

Do not exist PlaymoDB gives this description for 791 sets where the non-existence of plans has been confirmed or is obvious. I have added the 40 Figures series.

no Not known whether plans exist or not. Many "simple" sets, those mainly containing only klickies, most 123 sets and some early sets fall into this category, but some of these sets almost certainly do have building plans, including some of the more recently issued sets, so I have described those as 'may exist'

On PlaymoDB (see here (https://playmodb.org/wishlist.php)), Heather has a list of 230 sets, including the 42 in the list above, for which plans may or may not exist. If you can confirm either way for any of these sets by sending Heather an email, I am sure that would be appreciated. Presumably to confirm an absence of building plans you need to have opened the set when it was new. And I think I am right in saying it is plans with part numbers which are significant here, not other paper enclosures giving historical background or safety warnings!
